The National Youth Wind Orchestra of Great Britain (NYWO) is committed to protecting and respecting your privacy.

This privacy policy (together with our terms and conditions and any other documents referred to) sets out our policy with regards to the basis on which any information, including personally identifiable information (“personal data”) which NYWO collects from you, or that you provide to NYWO, will be processed.

NYWO collects personal data from you when you voluntarily provide such information, such as when you apply to become a member of NYWO or contact NYWO, without limitation, by phone, post, through the website or email with enquiries. The personal data collected includes, without limitation your name, address, email address, mobile number and other personally identifiable information.

In some cases, and if you use NYWO payment processing services NYWO may collect your financial (e.g. your bank account information or an address to which to send cheques) or credit card information (e.g. your credit card number) as necessary, to facilitate and secure certain payments, and information required for tax purposes, some of which may constitute personal data.

NYWO uses the personal data collected in a manner which is consistent with this privacy policy.

NYWO may use the personal data as follows:

Specific reason: if you provide personal data for a certain reason NYWO may use the personal data in connection with the use for which it was provided (e.g. if you contact us by email we will use the personal data you provide to answer your question or resolve your problem and may respond to the email address from which the contact came).

Internal organisational purposes: NYWO may use your personal data for internal organisational purposes including, without limitation, to:

. improve the content and provision of courses, concerts and leisure activities;

. process applications for auditions;

. process admissions to the orchestra/courses;

. organise courses, concerts, tours and events;

. administer the provision of education and events including tours;

. raise funds;

. administer membership records including alumni;

. promote NYWO through public relations and marketing;

. enforce our terms and conditions and payment procedures and collection;

and In any other manner as NYWO may reasonably require in order to carry out the organisational objectives of NYWO or to provide a specific service.

Marketing: NYWO may use your personal data to contact you in the future for marketing and advertising purposes including without limitation, to inform you about courses, concerts or events which may be of interest to you, to develop promotional or marketing materials and provide those materials to you and others and to display content and advertising which may be relevant to you, in accordance with the terms of this privacy policy. If NYWO intends to use any personal data in any manner which is not consistent with this privacy policy, you will be informed of such anticipated use prior to or at the time of which personal data is collected or we will obtain your consent subsequent to such collection but prior to such use.

Non-personal data

Because non-personal data cannot be used to personally identify you, NYWO may use such information for any lawful purpose.

Personal data

NYWO does not sell your personal data. This information is a vital part of your relationship with NYWO.

There are however certain circumstances in which NYWO may disclose, transfer or share your personal data with certain third parties without further notice to you, as follows:

NYWO may share your personal data with our agents, consultants and related third parties (e.g. website manager, residential accommodation provider). Like many organisations, NYWO sometimes engages other people or companies to perform certain charity-related functions (e.g. mailing information, ticket fulfilment, maintaining databases and processing payments). When NYWO engages another person or company to perform such functions they may be provided with information, including personal data, in connection with their performance of such functions;

Facebook and other third party connections: NYWO may collect, use, disclose, transfer, and store information from third party services such as Facebook (e.g. If you connect with Facebook we may store your Facebook id, name, email, location, friends, and profile picture and use them to connect with your Facebook account to provide information to you and/or your Facebook friends;

Legal requirements:  NYWO may disclose your personal data if required to do so by law including, without limitation, responding to a subpoena or request from law enforcement, court or government agency or in the good faith belief that such action is necessary to:

. comply with a legal obligation;

. protect or defend NYWO’s rights, interests or property or those of third parties;

. prevent, investigate or identify possible wrong doing in connection with NYWO;

. act in urgent circumstances to protect the personal safety of users (e.g. staff, students, tutors etc)   of NYWO or the public; or

. protect against legal liability.

Non-personal data

Because Non-personal data cannot be used to personally identify you NYWO may disclose, transfer or share non-personal data for any lawful purpose.

Your choice

You have the choice, when it comes to giving your personal data, to choose not to provide any personal data or limit the personal data you provide. This may prevent you from obtaining a place on one of our courses or continuing your relationship with NYWO.

Do not track

NYWO does not participate in any “do not track frameworks” that would allow us to respond to signals or other mechanisms from you regarding collection of your personal data.

Exclusions

This privacy policy does not apply to any personal data collected by NYWO other than personal data requested by NYWO and collected through the application form, consent form and health-care plans. This privacy policy shall not apply to any unsolicited information you provide to NYWO or another user of or visitor to NYWO or through any other means. All unsolicited information shall be deemed to be non-confidential and NYWO will be free to reproduce, use, disclose, and distribute such unsolicited information without limitation or attribution.

Children

NYWO does not knowingly collect personal data from children under the age of 13. If you are under the age of 13 please do not submit any personal data to NYWO. NYWO encourages parents and legal guardians to monitor internet usage by their children and help to enforce our privacy policy by instructing their children never to provide personal data to NYWO without their permission. If you have reason to believe that a child under the age of 13 has provided personal data to NYWO, please contact NYWO and we will endeavour to delete that information from our databases.

Retention and deletion

NYWO may retain your personal data for as long as you are a member of NYWO or you agree to such retention.
